Driver and diesel are included in the daily rate of the Kyani 4x4 vehicles, but why do we limit the distance to 250 km per day?

We limit the daily distance for both safety and costs reasons. The conditions of the gravel roads in Namibia are often in a state that does not allow for excessive distances to be travelled, especially if the day’s itinerary includes sight-seeing activities. We try to avoid situations where the itinerary puts pressure on the driver to drive faster than the road conditions allow. We do realize however that because of the vastness of our country, there will be days where the vehicle will have to travel further than 250 km. As such, the 250 km daily limit is calculated on aggregate for the whole tour (i.e., on a 12-day tour, we include 3 000 km in the rate, thereafter we charge N$ 12 excl. VAT per excess km).

 

How do we calculate and invoice the excess kilometers?

Before we raise the invoice, we ask for the itinerary of the tour, which we use to estimate the total kilometers. If the itinerary indicates that the total kilometers of the tour exceeds the allowed kilometers (based on the number of days), we will include the excess kilometers in the invoice at a rate of N$ 12 excl. VAT per kilometer. This is of course only an estimate, so if the tour kilometers exceed the estimate, we will raise an additional invoice at the end of the tour. Similarly, if the actual kilometers are less than the estimate, we will issue a refund to the client.

Why do we only allow our own drivers to drive the Kyani 4 x 4 vehicles?

Our value proposition is based on the notion that we take care of everything surrounding the vehicle, whilst the guide look after the guests. We do this for safety reasons – that our trained and experienced drivers focus exclusively on getting everyone safely to the next destination.  The terms & conditions of our N$ 30 M passenger liability insurance also require that only our drivers are allowed to drive the vehicles. All our drivers have valid code C10 driving licenses and public transport permits.

How many seats do the Kyani 4 x 4 vehicles have?

Our Iveco 4×4 Luxury 14-Seater have 14 x passenger seats, 1x driver seat & 1x guide seat, so 16 in total. The passenger seats are paired in two’s and consist of 7x window seats and 7x isle seats.

Our FAW 2×4 Semi-Luxury 18-Seater have 18x passenger seats, 1x driver seat and 1x guide seat, so 20 in total. The passenger seats are paired in two’s and consist of 9x window seats and 9x isle seats.


All the seats include a comfortable lap belt for your safety. The windows were designed to allow for comfortable and safe camera shots from the vehicle.

What are our payment terms?

You can make a provisional booking without paying a deposit, but in order to secure the booking of a vehicle for a tour, we require a 50% deposit of the total amount. The other 50% payment can be settled any time prior to departure.

What are our cancellation terms?

If the tour is cancelled 30 days or more before the departure date, our cancellation fee is 50% of the deposit amount (25% of the full amount). If the tour is cancelled less than 30 days before departure, the cancellation fee is the deposit amount (50% of the full amount).

why do we apply (charge you / credit you) a diesel factor?

All our rates were calculated based on a diesel price of N$20 per liter. Due to the uncertainty surrounding the current global oil prices, a diesel factor of N$0.25 will apply in 2023 for every N$1 increase in the diesel price. For example, should the price of diesel increase to by N$5 to N$ 25 per liter and the tour distance is 1,500 km in total, the diesel factor will be calculated at 1,500 km x (5 x N$0.25) = N$1,875. Also, if the diesel price should drop below N$20 / liter, we will credit you N$0.25 per km for every N$1 drop in the diesel price.
